VO Pro Tip: What Information to Store about Clients and Leads

Client and Lead Information

Hey Reader,

If you are just starting out, this might not apply to you quite yet. But at some point not too far into your VO career, you're going to want to have some sort of CRM system.

This is the place where you will store information about your clients and leads. Think of it like a big database with all the information about the people you've worked with or discussed VO with over the years. It can even be a simple spreadsheet to start, but eventually you'll probably want to move on to a proper CRM system - there are a lot out there and you can find some reccs on the Resource Guide.

Obviously you'll want to keep track of the basics in there like: Client Name, Company Name, Email Address, and Job Title. But here are some other things I like to keep track of that can come in handy.

Source: I like to track where this client or lead came from - was it a P2P? A direct email? Did they find my website and contact me directly? This helps me assess how these different things contribute to my business.

Dates: I like to keep track of dates for "milestones" even just rough ones like "April 2023" or something like that - When did I first try to contact them? When did they first respond to a marketing outreach? When did they first hire me?

Price Discussions: If I have some sort of conversation about rates with a prospective lead, I always copy and paste the key details into my CRM. This way if they come back for a quote 8 months down the road, I can easily refer back to the prices we discussed for the types of work they were interested in.

Notes: I like to add little personal notes to myself about certain clients/leads when applicable - things like "took a long time to pay and required many follow ups" or "Very picky on live directed sessions" or "Super easy to work with" - whatever, just things like that, that could give me a heads up dealing with them in the future if a long time has passed.
